Preliminary Inquiries 

The Society strongly recommends that would-be applicants contact the Society prior to submitting an application in order that their efforts are well within the purview of the guidelines.  A representative of the Society visits many seminaries each fall, or is easily reached by e-mail at office@ees1862.org or by phone at 703-807-1862.  It is recommended that preliminary inquiries include a brief description of the project and an estimated budget for it. 

The Application

The application form can be found at the link, below.  A copy must be submitted as an e-mail attachment to office@ees1862.org, and a hard copy must be mailed, including the signature of the Dean of the applicant’s seminary.  The application must also be approved and signed by the Rector or supervisor where the project will take place.  Applications must be e-mailed and postmarked by the deadline.  (Link to application)

References

The name and phone number of a member of the faculty or administration at the applicant’s seminary who will serve as a reference is required, as is the name and address of the Bishop of the applicant’s diocese.  Bishops are notified of the application and that an award has been made.

Selection

Applications are approved at the Spring meeting of the Board of Directors, usually in April or early May.  Applicants are notified immediately.

Disbursement

Grants are paid in installments according to the approved grant budget.  Normally, the initial payment of 40% of the total is paid in September; 30% upon receipt of a mid-grant report; and 30% upon receipt of a final report and accounting of expenditures.   This schedule may be adjusted according to the timing of the project for which the award is made, and many projects are begun in the summer immediately following notification of the award.

Application Cycle

February 4, 2008

Completed final applications are received in the Society’s offices.

February/March

Applications are processed and distributed to the Grants Committee of the Board.

Mid-April

The  Board make grant awards; applicants are notified shortly thereafter.

May 1, 2008 – April 30, 2009 

Disbursements

Grants Cycle

September

First installment (typically 30-40% of the award) to begin project.  Note:  special arrangements may be made to begin a project during the preceding summer months.

Midr-winte

Second installment paid (typically 30%) upon completion and approval of a short interim report.

Upon completion

Final installment paid upon submission and approval of a final report and accounting of the use of award funds.
